Export Your Data
Your data is yours. Here is how to pull reports, invoices, and CSV exports out of CCMS products, and how to request a complete export when you need everything.
Exporting Reports
Most reporting screens in CCMS products include a download or export option:
- From your dashboard, open the Reports section
- Set the date range and any filters you need before exporting
- Choose CSV for spreadsheets or PDF for sharing and printing where both are offered
- Large reports may take a moment to generate; the file downloads when ready
Exports reflect the filters on screen, so double-check the date range before you download.
Exporting Invoices and Billing Records
Billing documents can be downloaded for bookkeeping or your accountant:
- Open the Billing or Invoices area of your product dashboard
- Download individual invoices as PDF
- Use a list export (CSV) for a full ledger of invoices and payments over a period
If you need invoices for your CCMS subscription itself, rather than invoices you issue to your own customers, those are available in your account billing settings or by request from support.
CSV Exports by Product
Each CCMS product supports CSV export of its core records:
- TUITIONsimple: students, sessions, payers, invoices, and tutor activity
- STORAGEsimple: tenants, units, leases, and payment history
- SERVEsimple: operational records, schedules, and billing data
- DMARCsimple: authentication reports and domain monitoring data
CSV files open in Excel, Google Sheets, or any spreadsheet tool, and are the best format for importing into other systems. If a record type you need does not show an export option, ask support; many additional exports can be run on request.
Requesting a Full Export
For migrations, audits, or your own archives, you can request a complete export of your account data:
- Email support@ccmshightech.com from an email address on the account
- Tell us which product, and whether you need everything or specific record types
- We verify the request with the account owner before releasing data
- Full exports are delivered as a set of structured files via a secure download
Full exports typically take a few business days depending on account size.
Good Data Habits
A few recommendations from our support team:
- Run a periodic export of business-critical records (monthly or quarterly) and store it with your own files
- Keep exported files containing customer or student data secure; they are outside the protections of the application once downloaded
- Before importing exported data into another tool, check its required column format and adjust headers as needed
